Who is responsible for your information

Information we collect
We may collect names, job titles, employer details, contact information, site addresses, building and water-system information, enquiry and contract records, correspondence, payment and invoice information, access or safety instructions, and records created while delivering our services. Please do not send special-category or confidential personal information unless we specifically request it and provide a secure route.
Why we use it
- To respond to enquiries and prepare quotations, usually because you have asked us to take steps before a contract.
- To deliver, manage and document contracted services.
- To manage client relationships, improve our service, protect our business and establish or defend legal claims, where this is in our legitimate interests.
- To meet legal, tax, accounting, health and safety, insurance and regulatory obligations.
- To send marketing only where the law permits it; you can opt out at any time.
Who receives it
We do not sell personal information. We may share only what is necessary with our IT, hosting, communications, accounting, legal and insurance providers; approved laboratories or specialist suppliers engaged for an agreed service; professional advisers; authorities where the law requires it; and a purchaser or successor if the business is reorganised. We require service providers to protect the information they process for us.
International transfers
If a supplier processes information outside the UK, we will use an approved legal safeguard where required, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
How long we keep it
Unsuccessful enquiry records are normally retained for up to 24 months. Client, contract, report and financial records are normally retained for at least six years after the relevant work or relationship ends, and longer where an insurance, legal or safety reason requires it. We review retention and securely delete or anonymise information when it is no longer needed.
Your rights
Depending on the circumstances, you may request access, correction, deletion, restriction, portability, or object to our use of your information. Where we rely on consent, you may withdraw it. We may need to verify your identity and some rights are subject to legal exemptions.

Website enquiries and cookies
Information entered into our quotation and contact forms is sent to our access-controlled customer relationship system so that authorised Hawkflow Services staff can respond, prepare quotations and manage the enquiry. If a form cannot be submitted, you may contact us by email instead. Please do not place special-category or confidential information in a website form.
